These Terms and Conditions ("Terms") govern the use of services provided by Altogether Accessible Vacations LLC, a Wyoming limited liability company ("we," "us," "our," or "Company"), through our website https://altogetheraccessiblevacations.com/ and related booking services. By booking travel services with us, you ("Customer" or "you") agree to be bound by these Terms.

Our parent company, Altogether Travel, is based in Scotland and provides fulfilment services for bookings made through Altogether Accessible Vacations LLC.
3. Services Provided
We specialize in accessible vacation planning for the UK and Ireland, including:
· Custom accessible trip planning.
· Accommodation booking
· Accessible vehicle tours & local tour guides
· Mobility equipment hire
· Accessible transportation and transfer services
· Attraction tickets
· Vacation care services through Altogether Travel
· Access to the UK's largest accessible accommodation database
4. Booking and Payment Terms
4.1 Booking Process
All bookings must be confirmed in writing and are subject to availability. We reserve the right to decline any booking at our sole discretion.
4.2 Pricing
All prices are quoted in US Dollars and are subject to change until booking confirmation. Prices include applicable taxes unless otherwise specified.
4.3 Payment
· Payment is processed through our US banking facilities to eliminate foreign exchange complications
· Deposit requirements and payment schedules will be specified at time of booking
· Final payment is typically due 60 days before travel departure date
· We accept major credit cards and bank transfers
4.4 Payment Security
All payment processing is conducted through secure, PCI-compliant systems. We do not store complete credit card information.
5. Cancellation and Refund Policy
5.1 Customer Cancellation
· Cancellations must be made in writing. Please be aware some elements of your trip may not be refundable such as flights, accommodation. We will advise at the time of booking.
· Cancellation fees apply according to the following schedule:
o More than 90 days before departure: $200 administrative fee
o 61-90 days before departure: 25% of total booking value
o 31-60 days before departure: 50% of total booking value
o 8-30 days before departure: 75% of total booking value
o 7 days or less before departure: 100% of total booking value
5.2 Company Cancellation
We reserve the right to cancel bookings due to circumstances beyond our control, including but not limited to natural disasters, government restrictions, or supplier unavailability. In such cases, we will provide a full refund or offer alternative arrangements.
5.3 Travel Insurance
We strongly recommend comprehensive travel insurance. We are not responsible for losses that could have been covered by appropriate travel insurance.
6. Accessibility Services and Equipment
6.1 Accessibility Information
We rely on information provided by accommodation providers, transport operators, and attraction venues regarding accessibility features. While we make every effort to verify this information, accessibility standards may vary.
6.2 Equipment Hire
· Mobility equipment is provided by third-party suppliers
· Equipment availability is subject to confirmation
· Customers are responsible for reporting any equipment damage or malfunction immediately
· Additional charges may apply for damaged or lost equipment
6.3 Personal Care Services
Personal care services are provided through our parent company's network of qualified carers. All carers are vetted and licensed according to UK standards. All care provision is subject to availability and allocation criteria.
7. Travel Documentation and Health Requirements
7.1 Documentation
Customers are responsible for ensuring they have valid passports, visas (if required), and any other necessary travel documentation. We are not responsible for denied entry due to inadequate documentation.
7.2 Health and Medical Requirements
Customers must disclose any medical conditions or accessibility needs that may affect their travel. We recommend consultation with healthcare providers before travel.
8. Liability and Risk
8.1 Limitation of Liability
Our liability is limited to the direct cost of services booked through us. We are not liable for:
· Indirect, consequential, or punitive damages
· Loss of enjoyment or opportunity
· Medical expenses or personal injury (except where caused by our negligence)
· Damages caused by third-party service providers
· Weather-related disruptions
· Government actions or restrictions
8.2 Third-Party Providers
We act as an intermediary for various service providers including hotels, transport companies, tour operators, and equipment suppliers. We are not liable for the acts or omissions of these third parties.
8.3 Maximum Liability
In no event shall our total liability exceed the amount paid by the Customer for the specific services in question.
9. Force Majeure
We are not liable for failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, war, terrorism, pandemic, government actions, or supplier failures.
10. Customer Responsibilities
10.1 Accurate Information
Customers must provide accurate information regarding their accessibility needs, medical conditions, and travel requirements.
10.2 Reasonable Behavior
Customers must conduct themselves appropriately during travel. We reserve the right to terminate services for unreasonable or disruptive behavior.
10.3 Compliance with Laws
Customers must comply with all applicable laws and regulations in both the United States and destination countries.
11. Data Protection and Privacy
11.1 Personal Information
We collect and process personal information in accordance with applicable US privacy laws and, where services are provided in the UK/Ireland, the General Data Protection Regulation (GDPR).
11.2 Information Sharing
We may share customer information with service providers necessary to fulfill bookings, including accommodations, transport providers, and care services.
11.3 Data Retention
Personal information is retained only as long as necessary to provide services and comply with legal obligations.
12. Complaints and Dispute Resolution
12.1 Complaints Process
Complaints should be submitted in writing within 30 days of the conclusion of travel services. We will investigate all complaints promptly and respond within 14 business days.
12.2 Dispute Resolution
Any disputes arising from these Terms shall first be addressed through good faith negotiation. If negotiation fails, disputes shall be resolved through binding arbitration in Wyoming under the rules of the American Arbitration Association.
13. Governing Law and Jurisdiction
These Terms are governed by the laws of Wyoming, United States. Any legal proceedings shall be conducted in the appropriate courts of Wyoming, unless otherwise specified in the dispute resolution clause above.
14. Consumer Protection Rights
14.1 US Consumer Rights
Nothing in these Terms shall limit any consumer rights provided under applicable US federal or state consumer protection laws.
14.2 UK/Ireland Consumer Rights
For services provided in the UK or Ireland, customers may have additional rights under UK or Irish consumer protection legislation, which these Terms do not seek to limit.
15. Intellectual Property
All content on our website and in our materials is protected by copyright and other intellectual property laws. Customers may not reproduce, distribute, or create derivative works without our written permission.
16. Modifications to Terms
We reserve the right to modify these Terms at any time. Changes will be posted on our website with an updated effective date. Bookings made before changes take effect will be governed by the Terms in effect at the time of booking.
17. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
18. Entire Agreement
These Terms, together with any booking confirmations and related documents, constitute the entire agreement between the parties regarding the subject matter herein.
